Email Marketing

Hotel Email Templates: 8 Copy-Paste Emails With Subject Lines

A hotel marketing email open on a laptop screen

Email is still the cheapest way to turn a past guest into a repeat, commission-free booking — but only if you actually send. Below are eight ready-to-use templates, each with a subject line and body, covering the whole journey from booking confirmation to win-back. Copy one, swap the {{placeholders}} for real details, and make the voice your own.

For the strategy — consent, frequency, and how email and WhatsApp work together — start with our guide to hotel email & WhatsApp marketing. Prefer messaging? Pair this with our WhatsApp templates for hotels.

Each has a subject line and body. Replace the {{placeholders}} before you send.

Four rules for emails that get opened & clicked

1

Win the subject line first

Under ~45 characters, personal, one clear benefit. If it isn't opened, the best email in the world does nothing.

2

Personalise beyond the name

Reference their last stay, their city, the season. Swap every {{placeholder}} for a real value before sending.

3

One email, one call to action

Every template points to a single next step — usually your direct booking link. Competing CTAs kill clicks.

4

Write for mobile

Most guests read on a phone. Short paragraphs, a clear button or link, no giant images that clip or fail to load.

Consent & unsubscribe
Transactional emails — confirmations, pre-arrival, thank-you — a guest expects. Marketing emails — offers, newsletters, win-backs — need opt-in and a clear unsubscribe link in every send (included in the templates above). Honour opt-outs promptly; it keeps you compliant and keeps your emails out of the spam folder.

Make one template reach your whole list

Sending these one by one doesn't scale. The real leverage is a system that captures each guest's email at booking, fills in the placeholders from the reservation, and sends confirmations, review requests and seasonal campaigns automatically — so a single template quietly becomes hundreds of personal, commission-free touchpoints that bring guests back through your own door.

Send these automatically, not by hand

  • Captures guest email at booking
  • Auto-fills placeholders from the reservation
  • Confirmations & pre-arrival on autopilot
  • Post-stay thank-you & review requests
  • Seasonal & win-back campaigns to your list
  • Email + WhatsApp from one dashboard

Frequently asked questions

What should a hotel email subject line say?

Keep it short, specific and personal — ideally under 45 characters so it isn't cut off on mobile. Use the guest's name or your hotel's name, hint at one clear benefit, and avoid spammy words like FREE in all caps or rows of exclamation marks. “Your stay at Hotel Sunview is confirmed” beats “BOOKING CONFIRMATION!!!” every time.

How often should a hotel email past guests?

Transactional emails (confirmations, pre-arrival, thank-you) are sent per booking as needed. For marketing emails — offers, newsletters, win-backs — a handful of times a year is plenty for most independent hotels: a seasonal note, a festival offer, an occasion message. Over-emailing hurts your open rates and your sender reputation.

Do I need consent to send marketing emails to guests?

Yes. Collect opt-in at booking or check-in, keep a record of it, and include a clear unsubscribe link in every marketing email. Transactional messages a guest expects, like a booking confirmation, are different from promotional sends — but honouring consent and opt-outs keeps you compliant and keeps your emails landing in the inbox rather than spam.
