- Guest Data: Guest names, contact information, ID documents, and stay preferences collected through your hotel's use of our platform.
- Payment Information: Payment details are processed by our third-party payment partners (Razorpay, PayU, Cashfree). We do not store full card details.
- Usage Data: Log data, device information, IP addresses, and platform interaction data collected automatically.
- Communications: Messages sent through our support channels or contact forms.
2. How We Use Your Information
- Provide, maintain, and improve our hotel management platform
- Process bookings, payments, and guest communications on behalf of your hotel
- Send transactional notifications (booking confirmations, check-in reminders)
- Provide customer support and respond to inquiries
- Generate analytics and reports for your hotel's operations
- Detect and prevent fraud, abuse, or security incidents

3. Data Ownership
Your hotel owns its data. All guest data, booking records, and operational data entered into OwnMyHotel belongs to your hotel. We act as a data processor on your behalf. You can export or delete your data at any time from your dashboard.
4. Data Security
- Encryption: All data is encrypted at rest (AES-256) and in transit (TLS 1.3).
- Access Control: Role-based access ensures staff only see data relevant to their role.
- Infrastructure: Hosted on AWS with automated daily backups and disaster recovery.
- Authentication: JWT-based authentication with secure token rotation.
- Audit Trails: All sensitive operations are logged for accountability.
5. Data Sharing
We do not sell your data. We share information only with:
- Payment Processors: Razorpay, PayU, Cashfree for transaction processing.
- OTA Channels: Booking.com, Airbnb, etc. — only the data needed for booking sync, as configured by you.
- Communication Providers: Twilio (WhatsApp), MSG91 (OTP) for guest notifications.
- Cloud Infrastructure: AWS for hosting and storage.
- Legal Requirements: When required by law or to protect our legal rights.
6. Data Retention
We retain your data for as long as your account is active. Upon account deletion, we delete all associated data within 30 days, except where retention is required by law (e.g., financial records for tax compliance).

You have the right to:

- Export your hotel's data in standard formats
- Withdraw consent for marketing communications
