What actually drives the price

Two hotels can pay very different amounts for the “same” software. The variables that move the number are your number of rooms, how many modules you switch on (a bare PMS costs less than PMS plus channel manager plus booking engine plus revenue tools), how many OTA channels you connect, and whether you're a single property or a group. The hidden costs to ask about

The monthly fee is the part vendors advertise. The costs that surprise owners are the ones you have to ask about directly:

  • Setup & onboarding — a one-time fee to configure the system and import your data.
  • Per-channel charges — some channel managers bill per OTA connection.
  • Payment gateway charges — a percentage on each online booking, separate from the software fee.
  • Support & training — check whether these are included or a paid tier.
  • Contract lock-in — annual commitments, price escalators and cancellation terms.
